About the role

VAMPT MOTORS LTD.

NOW HIRING: SERVICE SUPPORT COORDINATOR

Vampt Motors Ltd., the authorised Ford and Toyota dealer in Grand Cayman, is seeking a reliable and organised Service Support Coordinator to support the daily operations of our service department. This role is the administrative and customer-facing backbone of the service department — ensuring a smooth workflow at the front-desk reception, cashiering, and service administration, with cross-training in warranty claims processing to provide cover during peak periods and staff leave.

Key Responsibilities

  • Greeting customers warmly upon arrival and directing them to the appropriate service personnel
  • Answer and manage incoming calls to the service department promptly and professionally
  • Schedule and confirm service appointments, managing the service calendar accurately
  • Communicate estimated wait times and keep customers updated on job status
  • Process customer payments, issue invoices and receipts upon job completion
  • Reconcile daily cash, card, and account transactions in line with company procedures
  • Maintain accurate customer and vehicle records through data entry in the dealership management system (CDK)
  • Prepare and file service department documentation, reports, and correspondence
  • Coordinate with service advisors, technicians, and the parts department to ensure smooth job flow
  • Maintain a clean, organised, and professional reception area
  • Provide backup support for warranty claims processing — including claim submission, documentation, and follow-up — during staff leave or high-volume periods

Key Requirements

  • Minimum 2 years’ experience in an administrative, receptionist, or customer service role
  • Demonstrated cashiering or cash-handling experience
  • Excellent verbal and written communication skills with a professional, customer-first manner
  • Strong organisational skills and ability to multitask effectively in a busy environment
  • Proficient in Microsoft Office; comfortable learning dealer management systems (CDK experience an advantage)
  • Experience in an automotive or service dealership environment preferred
  • Exposure to warranty administration or service writing is an advantage
  • Clean police record and valid driver’s licence
  • Must provide contactable references
